Position: PA to the Head & Alumnae Officer

Location: On site, Westbury-on-Trym BS9 3BA

Hours: Working hours are 08.00 to 16.00 (less a half-hour break for lunch) all year round.  

The closing date for this position will be Thursday 24 September (8.00 am)

We are looking for a PA to the Head and Alumnae Officer to take responsibility for the day to day running of the Head’s Office and to coordinate alumnae relations at the school. 


Main Responsibilities:

• Assist the Head with organisational tasks both short and long term

• Responsible for the Head’s incoming and outgoing email/mail, maintaining and organising secure filing systems to ensure confidentiality

• Arrange meetings and events (including End of Term School meetings) collating appropriate notes and materials for the Head

• Attend meetings as and when required and taking minutes where needed (taking responsibility for all school staff Meetings, SLT minutes, SMT agendas and published minutes)

• Be responsible for the collation and filing of all complaints, concerns, incidents and sanctions ensuring the Head completes termly report for Governors

• Responsible for information gathering, documentation, reports and information for Governors when required

• Maintain and update the alumnae database (Raiser’s Edge) with exceptional accuracy and attention to detail; 

• Actively research lives and careers of alumnae to build a detailed, individual profile;  

• Identify and contact former pupils to proactively grow the alumnae network;

• Support the organisation of events to increase engagement including at Celebrating Badminton Day and by facilitating year group reunions etc;  


To be considered for this position, we are looking for the following:

• Experience of providing high-level administrative support

• Experience of dealing with confidential and sensitive information

• Highly developed interpersonal skills

• Strong organisational and management skills


Experience of working in a school or education environment and an understanding of safeguarding in school would be an advantage but is not essential. Please see the candidate brochure for the full list of essential and desirable criteria.
